Data rights & account deletion.

How to access, correct, restrict, export or erase data, withdraw consent, object, or complain.

1. Your rights

Depending on the circumstances, UK data-protection law can give you rights to be informed, receive access, correct inaccurate data, erase data, restrict processing, receive certain data in a portable format, object to legitimate-interest processing or direct marketing, withdraw consent and challenge qualifying automated decisions. ROAD does not use solely automated decisions with legal or similarly significant effects.

2. Make a request

Use the relevant control in ROAD Settings or email contact@roadco.uk with subject “Data rights request”. State the right you want to exercise, the account email or MARK where relevant, and enough detail to locate the data. Do not send identity documents unless ROAD asks for a proportionate verification method.

ROAD will normally respond without undue delay and within one calendar month. A lawful extension can apply to a complex or multiple request; ROAD will explain it within the first month. Requests are normally free, subject to the law on manifestly unfounded or excessive requests.

3. Delete an account

In the signed-in app, open Settings → Account deletion. No reason is required. ROAD sends an ownership-confirmation email. After confirmation, deletion is scheduled for seven days later. Settings shows the request and lets the member revoke it during that cooling-off period.

If the in-app route is unavailable, email contact@roadco.uk with subject “Account deletion request”. ROAD may use a secure email or session check to confirm account ownership.

4. What deletion does

  • removes stored identity and evidence images;
  • deletes entry evidence and later-addition records;
  • scrubs entry body, session, proof, support, measure, URL and location content and makes retained structures Private;
  • anonymises core ROAD title or rule content and makes retained structures Private;
  • scrubs team application, waitlist, coach, message and membership data and revokes access;
  • scrubs registry-event payloads and direct profile and contact fields;
  • deletes the Supabase authentication user;
  • attempts a completion email after successful execution.

5. Limited retention

ROAD retains a limited deletion-request audit row with status and error information and can retain a non-public, anonymised ledger skeleton or moderation or security record where necessary and lawful for claims, safety, abuse prevention or another legal duty. Provider backups can take time to rotate and must follow the verified provider configuration and contract.

ROAD will explain any material retention that applies to a request where permitted. Product words such as “add-only” or “immutable” do not override a statutory right.

6. Withdraw consent

Marketing: switch off marketing in Settings, use the email unsubscribe link, or email ROAD. A suppression record can remain so the opt-out is honoured.

Sensitive ROAD: use the ROAD controls to make it Private or withdraw the designated explicit consent. Withdrawal stops new filings and further sharing while sealed records and lawfully retained data remain. Account deletion is still available.

7. Correct or restrict

Use available profile and visibility controls for ordinary corrections and restriction. Because ROAD is add-only in places, a correction can appear as a linked later record rather than silent alteration, but ROAD can still correct inaccurate personal data, restrict public display and comply with applicable rights.

8. Data-protection complaint

Email contact@roadco.uk with subject “Data protection complaint”. Explain what happened and the outcome you seek. ROAD will acknowledge the complaint within 30 days, take appropriate steps to investigate, keep you informed and provide an outcome without undue delay.

A complaint and a rights request are separate processes. If you make both, ROAD will apply the relevant timeframe to each. You can complain to the Information Commissioner’s Office at any time or seek a judicial remedy.
